The useful starting point
Send the artwork version, exact spelling, finished dimensions and a marked placement view. Confirm the suitable decoration method on the selected product before approving the sample.
Define the logo artwork and version
Start with the original artwork your business has approved, plus a viewable preview. Label the file with the brand name and revision so a replaced version is easy to identify. Check capitalisation, spacing, any small text and whether a symbol belongs with the full wordmark. Confirm that you are authorised to use the submitted mark and any accompanying text.
If a vector original exists, keep it with the brief: vector artwork can be resized without the pixelation of an enlarged raster image. This does not make it automatically suitable for every decoration method. Ask which file formats the team can accept, how fine details will be handled and whether any simplification needs your approval. A screenshot can explain an idea but should not silently become the final artwork master.
- Approved artwork master and a readable preview
- File name, revision and date
- Exact wording and approved logo arrangement
- Colour references and any single-colour version
- Named person who can approve artwork changes
Show logo position and finished size on each product
Mark the position on a view of the chosen reference. State the finished width and height and identify the panel or measurement point. ‘Front’ can be ambiguous on a bag with several pockets; ‘left’ can mean the wearer's left or the viewer's left on clothing. Write the viewpoint explicitly. Keep a mark clear of the areas that need to open, bend or fasten, subject to the supplier's construction review.
Use a separate placement record for each product. A cuff logo on riding gloves has a different available area from a bag panel, while a riding breeches logo needs to be reviewed on the garment rather than positioned by copying the bag layout. The table is a briefing prompt, not a promise that every shown position or size is available.
Swipe or scroll the table to view every column.
| Product | Identify the location | Confirm in the sample |
|---|---|---|
| BAG-01 / BAG-02 / BAG-03 | Named pocket or panel, view, finished logo dimensions | Visibility, panel seams and access to zips |
| BREECH-01 / BREECH-02 / BREECH-03 | Wearer's side, garment panel, distance from an agreed seam | Position when worn and the appearance on the selected fit |
| GLOVE-01 / GLOVE-02 | Cuff or other proposed area, hand/view, orientation | Closure clearance, legibility and placement on both gloves |
Confirm colour and suitable decoration
Share colour references for the mark and the product separately. Identify whether a colour is essential or whether you want to review available options. Screens and printed previews can communicate the layout, but agree which physical reference will govern the colour decision. Keep the selected reference and approval notes together.
Embroidery, print, a patch or a label are possible subjects for the discussion, not universal options across the range. Ask which method suits the material, panel and design, what artwork preparation it needs and how it affects sampling or minimum quantities. If the supplier proposes a change to line thickness, small lettering or colour count, request a revised proof before accepting it.
Keep the approved artwork record
Approve the artwork proof and the relevant sample against the same version. Record the reference, logo file, method, location, finished dimensions, colours, decision and approver. If the product panel or logo changes later, identify which approval must be repeated. A correct digital mockup alone does not confirm the appearance of the physical decoration.
Email the selected product reference with a short artwork summary. Include a viewable reference or an attachment you are comfortable sharing, then agree the final artwork file exchange and proofing process with the team. Avoid including private credentials in the brief.
