The useful starting point
Record the usable space, the equipment it must fit and the agreed sample checks. Product dimensions, packed dimensions and logo dimensions are three separate parts of the brief.
Record usable bag and equipment dimensions
Measure the actual pair of boots and helmet that represent your intended customer. Note boot height, the widest part of the pair, and the helmet with any cover normally carried. If the range serves different boot sizes, identify the largest equipment combination you need to review rather than measuring only the smallest one.
Ask for usable internal dimensions and the size of the opening as well as external dimensions. Padding, curved walls and dividers can change what fits inside. A compartment may have enough space once loaded but an opening that makes loading awkward. Keep all measurements in one stated unit and mark unknown values as questions.
Swipe or scroll the table to view every column.
| Record | What to write down | How to confirm it |
|---|---|---|
| Equipment | Boot pair and helmet dimensions; representative sizes | Measure the actual items used in the review |
| Usable bag space | Internal space, opening and compartment arrangement | Load and close the physical sample |
| Packed bag | Outer carton dimensions, gross weight and units per carton | Request the proposed packing specification |
Separate material and construction questions
List the outer fabric, lining, base, handles, straps, zips and internal divisions separately. A material name alone does not describe the finished bag. Identify which panels need reinforcement, how the contents should be separated and the load you intend the bag to carry. Ask which details the quotation includes and which remain open.
For the boot and helmet bag sample checklist, load both items, close every compartment and use each intended carrying point. Review seams, zip access, handle placement and contact between the equipment. Record observations against the sample reference. If you need a water-resistance, durability or other performance claim, agree the evidence and assessment separately; a studio image is not proof of performance.
- Check the complete loaded arrangement, not each empty compartment on its own.
- Record where dirt or moisture from boots may contact other contents.
- Confirm which straps, dividers and pockets belong to the quoted specification.
- Turn each requested change into a written revision before approval.
Include logo, packaging and packed dimensions
Show the exact panel for the logo and its proposed finished width and height. Include the artwork version, colours, label needs and whether you want individual names. Ask which decoration methods suit the selected panel; do not assume the same method is available on every bag or that personalisation is included in the base price.
Describe individual packaging and carton identification before comparing totals. Ask for units per carton, packed dimensions and gross weight. Confirm the delivery country, destination type and the costs included in the delivery arrangement. This gives the supplier a clearer basis for a freight discussion than product dimensions alone.
Complete the custom equestrian bag brief
Use BAG-01 for a boot-and-helmet format, BAG-02 for the junior backpack reference or BAG-03 for the rider backpack reference. These identify a starting point; current measurements, materials, colours and customisation options need confirmation. For a standalone tall boot bag, describe the boot-only requirement and ask which formats are available.
Send the information you know and label the rest ‘to confirm’. Quantity by style and colour, logo needs and destination are more useful than an unsupported target such as ‘premium quality’. PoloSolo reviews the brief before preparing a manual quote. Sample charges, minimum quantities, timing and payment terms are agreed for the proposed order.
